Document Imaging and Workflow Automation
Information Technology Services (ITS) provides an electronic document management system, a virtual file cabinet in which you can store word processor documents, spreadsheets, PDF files, images, and other business files. It stores your electronic documents along with metadata, or information about your documents, to help you find and retrieve them easily.
Currently Campus is using Oracle I/PM, this product has reached end of life and IT Services is migrating I/PM to Hyland OnBase.
Who can use the service?
Services are available for departments across the campus that would like to automate existing business processes using document imaging and workflow.
What is included?
Document Imaging and Workflow offers a range of services to manage documents:
Paper DocumentsExtract data from paper documents using a scanner. Capture data where it is received and avoid wasting time and money sending documents from one location to another.
Electronic FilesDigitize and store paper documents. Gather data from electronic files using any application, such as email, FTP, etc.
Document CompositionAutomatically generate documents such as letters, statements and emails in response to business decisions.
Document DistributionDisseminate generated documents to recipients via letter, email, or fax.
WorkflowStreamline and automate any business processes that involve inputting or processing data. Transfer documents or data from one step/person to another.
IntegrationIntegrate with other information systems, such as FTS and CFS, to pull data into I/PM solutions.

How long does it take to get the service?
At this time, new request are on hold pending the migration to Hyland OnBase.
How do I get support?
Support for this service is provided Monday through Friday, during operating hours through the IT Services Help Desk.
Document Imaging and Workflow automation is an IT Services Baseline service and is offered at no additional cost for all state and self-funded departments.
